Grievance Policy & Process
Introduction
Lead With Coaching Institute is committed to providing a supportive environment where participants,
employees, directors and contractors can express their concerns without fear of
reprisal and seeks to ensure equitable treatment of every person to solve any
grievances in a timely and fair manner. All
grievances will be addressed to the best of our ability to prevent further
problems. This policy outlines the procedure for addressing grievances to
ensure they are resolved promptly and fairly.
Definition of a Grievance
A grievance is any issue, concern, or
complaint that a participant, employee, director or contractor has regarding presentation
or content, facility concerns, participant or faculty behaviour, workplace
conditions or any other aspect of their contract.
Informal Process
- Initial Discussion: An individual should first attempt to resolve the issue directly
with the faculty member, staff, or participant with whom they have an issue/misunderstanding.
- Informal Discussion: If the individual is not comfortable approaching the person with
whom they have an issue, they can discuss their grievance informally with the
programme facilitator. If the grievance
involves the programme facilitator, the individual should approach another
facilitator. The programme manager will
attempt to resolve the issue through discussion and mutual agreement.
Formal Process
If the grievance cannot be resolved
informally, the following formal procedure should be followed:
- Step 1: Written Grievance: If the individual is not comfortable approaching the individual with whom they have a grievance, are unable to resolve the issue directly or informally with a programme manager, individuals should submit a written grievance to the programme manager within 10 working days.
- Step 2: Meeting: The programme manager will review the issue and a meeting will be
arranged with the individual to discuss the grievance within 10 working days of receiving the written
complaint. The individual may be accompanied by a colleague or a
representative. The programme manager
will work with all parties involved to resolve the issue.
- Step 3: Investigation: The programme manager will work with all parties involved to
investigate the grievance and gather all relevant information with the aim of
resolving the issue.
- Step 4: Decision: A decision will be made and communicated to the individual in
writing within 30 working
days. If the individual is not
satisfied with the outcome, they may appeal.
- Step 5: Appeal: If the individual does not feel the issue is resolved, a written
request for an appeal should be sent to Lead With Coaching Institute Director Rachel Dungan
for review. An appeal should include
the original complaint and reason(s) the individual is unsatisfied with the
resolution attempt(s). Appeals are reviewed and a written response will be
provided to the participant within 10 working days. All appeal decisions are final.
Confidentiality
All grievances will be handled
confidentially, and information will only be shared with those directly
involved in the resolution process.
Ethics and Codes of Conduct
Lead With Coaching Institute abides by the ICF
Accreditation Code of Conduct.
Faculty members are credentialed coach
members of the International Coach Federation (ICF) and adhere to the ICF
Code of Ethics.
If the individual’s complaint relates to
alleged breaches/violations of the ICF Accreditation Code of Conduct or ICF
Code of Ethics, which has not been resolved from Lead With Coaching Institute’s
internal grievance policy, parties retain the rights/responsibilities to follow
the ICF code of ethics/conduct guidelines.
Review
This policy will be reviewed regularly to
ensure it remains effective and compliant with current legislation.

Participant Community Forum Contract
Welcome to Lead With Coaching Participant Community Forum. This is your space for peer discussion and reflection, sharing ideas,
and networking with your peers. To
ensure that this remains a safe and productive environment for everyone, please
remember the fable of the elephant and the blind people.

- The first one is holding on to the elephant's trunk. He says "this thing is like a snake."
- The second one is wrapping her arms around the leg. She says "no, no, this thing is like a tree trunk.”
- The third one is pressing against the elephant's side. They say "you're both wrong, this thing is like a wall."
- The fourth one is holding onto the elephant's tail and says "What's wrong with you? This thing is like a piece of rope!"
The point is that every single one of them is seeing a small aspect of truth. At any given point we are only in touch with partial truth, and there's always another perspective that can expand our understanding.
As Leaders embodying a ‘Lead With Coaching’
style of leadership, we're deeply curious, even fascinated, to explore what is
going on. We try to see the elephant from as many angles as we can, knowing
that we likely still never see the full elephant, because there is always more
to discover.
Curiosity and Open-Mindedness:
Willingness to explore other participants’
or speakers' viewpoints and experiences, coming from a place of curiosity, not judgement
or preconceived ideas of how things should be.
Acceptance & Exploration:
Everyone’s experiences and viewpoints can
be different, and we can all co-exist in the space and be willing to explore
and co-create the potential for new learning while accepting that sometimes experiences
and viewpoints will not be similar or alike.
Respect and Safety:
A safe space for ALL participants,
trainers, facilitators, mentors and alumni based on respect, understanding and
tolerance. Different opinions, experiences, perspectives, and views are all
welcome, as long as they are communicated in a considerate, thoughtful and
respectful manner.
Recognition and Awareness:
Recognising that some sessions explore emerging
fields, where even amongst experts, different approaches, opinions, and lenses
co-exist. Awareness that some topics can bring up a lot of emotions for
participants, stemming either from personal experience or from participating in
the wider conversation.
Confidentiality and Privacy:
You are encouraged to generously share your own learnings, experiences, questions within the community and to seek input to support your own growth and development. Remember that you are responsible for honouring confidentiality agreements you have made within your personal, professional, business or programme work with coachees. Do not share personal, sensitive, or business-specific information that could compromise confidentiality or another person’s privacy. Honour the confidentiality of our discussions within the Lead With Coaching Community.
Supportive and Relevant Sharing:
Share resources and insights aligned with community goals. Avoid spamming or irrelevant posts, and refrain from self-promotion or solicitation. Contributions should add value to discussions, not distract from them.
Balanced Participation:
Contribute constructively without monopolising discussions. Encourage balanced participation, allowing space for everyone’s contributions.
Integrity and Honesty:
Be truthful about your background, credentials, and contributions. Trust and authenticity form the foundation of this community.
Use of Forum Content Respect the integrity of shared content—do not distribute, copy, or publish forum materials externally without permission from the original contributor.
Consequences for Violations:
To protect the psychological safety of all community members, violation of these guidelines may result in a warning, temporary suspension, or removal from the Community Space, depending on the severity of the policy breach.
Moderation:
Whilst Lead With Coaching will moderate this forum to ensure the above is upheld, please don’t ask us to engage in any debates. This isn’t the best place to reach us with any queries, so if you need to contact us directly please email institute@leadwithcoaching.org.
By engaging here, all members agree to these guidelines and to help maintain a space that reflects LCI's commitment to Leading With Coaching and alignment with the ICF Code of Ethics. Let’s continue to uphold a community that thrives on supportive, constructive, and growth-focused interactions. Thank you for your cooperation!
Participation Policy
Your Engagement with the Programme
Participation Policy
Success in our programme requires full
commitment by all participants. By enrolling in our programmes, participants
agree to being fully present during all sessions and participate to the best of
their ability. This includes arriving on time, abiding by the code of conduct,
and engaging in course activities.
Our objective with these Lead With Coaching
programmes is to bring together a diverse mix of participants, industries,
facilitators, leaders, research, practitioners and people with lived experience,
to offer multiple perspectives and insights, to bring forth various ways of
thinking, feeling and acting in relation to leadership, specifically leading
with a coaching style.
It's likely that there will be times when
participants, facilitators and industries have conflicting perspectives and
points of view, use different terms to describe similar theories, or speak from
experience in different contexts. There are often various opinions and
approaches, landscapes and since we believe that none of us holds the absolute
truth, research is continually evolving.
Lead With Coaching programmes exist to
bring these varying perspectives to participants, to facilitate dialogue and
learning. We ask that participants engage with the programme with an open mind,
and with respect for diverse perspectives.
To listen to different perspectives,
participants are not asked to agree with any perspective, but we do ask
participants to actively listen to diverse perspectives and listen FOR the
underlying aspirations, needs, wants, fears that inform their current
perspective, with curiosity and empathy.
Remember the fable of the elephant and the
blind people.

- The first one is holding on to the elephant's trunk. He says "this thing is like a snake."

Our Role
There are multiple leadership styles, each
with different pros and cons, and with different impacts in particular
contexts. We believe that the coaching style is not the one and only
appropriate style of leadership.
However, our primary stance in our Lead with Coaching programmes is
towards facilitating individual leaders, teams and each cohort group to develop
competency in the coaching leadership style, and to provide opportunities to
grow that competency towards proficiency and mastery.
Our role is to bring a variety of ideas,
tools, frameworks, activities and experiences to the table for respectful peer
discussion, practical application and critical reflection.
We acknowledge and advocate for the rights
of participants to hold and to express their views. We encourage all participants to approach
sessions with an open mind, and be prepared for self-reflection.
Participation in Live Sessions
Attendance / Missed Sessions
In order to provide you with the minimum
required training hours for certification, participants are required to attend
all live, synchronous aspects of the programme.
If a participant has an emergency or becomes
ill and is not able to attend a programme session or mentor coaching session, please
contact your programme manager and Lead With Coaching Faculty immediately. Your Lead with Coaching liaison will
facilitate the options for the participant
- to attend the session missed
with a future cohort.
- to privately hire a programme
facilitator to cover the missed material at the participant’s own expense.
- If applicable, to arrange and
pay for individual mentor coaching sessions to complete the required 10 hours
of mentor coaching to satisfy the International Coaching Federation
requirements.
Petitions to this policy are considered on
a case-by-case basis and must be submitted in writing to the programme manager
and Lead With Coaching Institute.
Programme Engagement
Our programmes are designed to be
interactive and engaging for our participants. It is therefore an expectation
that you participate in programme activities, including dialogue with the programme
facilitators and peers, practice coaching activities, and experiential learning
exercises. If you are unable to participate in an activity, please inform your programme
facilitator as soon as possible. Please refer to the code of conduct for
additional details.
In online activities, having a reliable
internet connection and the camera on is expected.
In some circumstances, such as interactive sessions
where group contracting is vital for the welfare and success of the group,
participants may not be admitted to the sessions if arriving late, as this can
be disruptive to other participants.
